Payment Policies
We understand that booking an international trip is a big commitment, so we’ve designed a clear and fair payment schedule that allows flexibility while ensuring we can cover non-refundable costs like flights and accommodations.
Payment Schedule and Methods
Deposit: $500 per traveller (due upon booking — non-refundable).
Second Payment: 50% of remaining balance (due May 15 — refundable, less deposit).
Final Payment: Remaining balance (due June 15 — no refunds).

Important: Before sending your deposit, please review and sign the Participant Agreement & Liability Waiver to secure your spot!
Cancellation Policy
Before May 15: Full refund minus the $500 deposit per traveller
May 15 – June 15: 50% refund minus deposit
After June 15: No refunds
Cancellations must be made in writing. Refunds, where applicable, will be processed within 10 business days.
If We Cancel
In the unlikely event that we cancel the trip, you will receive a full refund of all payments made, including deposits. We reserve the right to cancel the trip due to unforeseen circumstances, including but not limited to:
• Insufficient enrollment (if minimum group size isn’t met)
• Safety concerns (extreme weather, political instability, etc.)
• Unexpected logistical complications
We are committed to transparency and will notify travellers as early as possible if a cancellation becomes necessary. Contact Us for any clarifications about payment, refunds, or anything else on your mind.
Travel Insurance
To ensure peace of mind during your trip, we strongly encourage NFSA participants to look into and purchase travel insurance that fits their needs. Coverage options can include:
Trip cancellation due to medical emergencies
Emergency medical care while abroad
Lost baggage or travel documents
Protection against unforeseen travel disruptions
Note that Nica Family Surf Adventure organizers assume no responsibility for financial losses, injuries, or damages resulting from unexpected circumstances beyond our control.
Travel insurance is widely available from major providers [get a quote from WestJet (via Allianz Global Assistance) here], including most likely your current home or auto insurance provider. Many credit card companies also offer travel insurance, so if you’re paying for the trip with your credit card, you may already have the coverage you need.
We recommend reviewing your existing policies and considering supplemental coverage if necessary to protect yourself and your family while travelling.
Risk & Liability: What You Need to Know
To ensure a smooth experience for all travellers, we require each participant (or a parent/guardian for minors) to review and sign our Participant Agreement & Liability Waiver before sending a deposit.
